Our Melbourne office is currently seeking a Receptionist / Administration Officer to join our Corporate Services team and provide services for the Australia-Asia region. Our team aims to provide exceptional quality administration and facility services to our clients and staff whilst building positing working relationships. The Administration team provides;

  • Quality administration / facilities services to clients and staff.
  • Building positive working relationships with clients and staff.
  • Exceptional customer service

Your responsibilities will include;

  • Greeting guests, answering the main phone and taking messages
  • Coordinating and sorting incoming and outgoing mail/courier services
  • Preparing new staff welcome packages (including coordination with IT for computer equipment)
  • Tracking building access cards and keys (including coordination with building security)
  • Providing safety inductions to new staff and office visitors
  • Managing office and equipment maintenance (including company apartment)
  • Liaising with building cleaning and maintenance staff, when required
  • Maintaining tidy presentation of the office facilities
  • Setting up meeting rooms and offices
  • Scheduling meetings for management
  • Managing calendars and meeting room bookings
  • Maintaining stock and ordering office/kitchen supplies
  • Coordinating internal and external events (including guest lists, invitations, tracking attendees and liaising with catering and venue personnel)
  • Organising flights, accommodation and car hire for management and staff
  • Reconciling and submitting expenses
  • Submitting and coding invoices in WorkCycle
  • Servicing document archiving requirements

  • May have or be studying toward a certificate in Business Administration

Qualifications and Experience;

  • Three or more years’ administration experience
  • Excellent organisational skills in managing multiple, changing priorities
  • Intermediate to advanced knowledge of Microsoft Office Package
  • Previous experience with engineering or construction firm would be an advantage
