Reporting to the Document Manager, and working as part of the Information Management team, the Document Control Lead is responsible for managing a team of document control specialists, working on multiple projects to deliver high volumes of document and data deliverables to our client. The successful candidate will be responsible for developing and applying processes and procedures in line with client requirements, providing technical expertise to the project team, and coordinating the document control team to ensure delivery in line with required quality standards and schedule requirements. This position requires experience in managing diverse teams and activities, ideally in an engineering environment. The successful candidate can identify and solve problems, direct and motivate people, and continuously monitor and strive to improve efficiencies.
Responsibilities
• Manage, train, mentor, and lead a large, geographically dispersed document control team. Manage staffing and training requirements.
• Accountable for the management, organization and maintenance of information in an electronic document management system.
• Enforce and optimize document control processes for maximum efficiency and quality.
• Work closely with client document control team.
• Collaborate with other functions to define and refine processes, provide solutions and recommendations for success.
• Coordinate and assist in the development of project objectives/plans, quality control standards, contributing to training programs, and assisting in the planning cycle.
• Prepare communications, and deliver awareness sessions and presentations related to document control.
• Interpret client policies/procedures and communicate/advise management on the impact to document control program.
• Provide input and assess the integrity of applications in accordance with user requirements and application demands.
Experience
• Experience working on large complex projects, ideally in engineering and construction, design/build.
• 10+ years of document control experience including demonstrated leadership or supervisory experience.
• Experience with Electronic Document Management Systems.
• Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
• Experience in virtual and classroom style training and conducting demonstrations and presentations to large groups preferred.
• Knowledge of Microsoft Office suite.
