Join Hatch as a Project Support Coordinator where you’ll be responsible for supporting multiple projects and organizing and coordinating operations and procedures to ensure efficient and effective day-to-day operation of our Brooklyn office.  You’ll work alongside a dynamic group of planners, engineers, economists, and technologists who deliver projects across the infrastructure, energy, and metals sectors—all contributing to Hatch’s vision of creating a better world through positive change.

 

In partnership with the Brooklyn Office Manager, you will apply your detail-oriented work style and organizational strengths to keep daily operations running smoothly.  You will work on multiple projects and initiatives simultaneously while meeting deadlines and maintaining a high level of quality.

Responsibilities:

 

  • Provide general support on multiple projects, which includes registering, classifying, managing, tracking, filing, and distributing electronic and hard copy deliverables—including design and vendor documentation—and other controlled documents as defined by the project(s). 
  • Coordinate and perform administrative support for projects and pursuits, which may include:
    • Reviewing, processing, and managing invoices and accounts receivable.
    • Typing, formatting, and editing documents including letters, memos, progress reports, meeting minutes, resumes, contracts and other complex technical documents.
    • Filling out procurement forms and contract documents.
  • Provide front desk coverage for the office, which includes greeting and directing visitors, answering phone calls, receiving deliveries, and liaising with building management.
  • Give general support to office staff, which includes supporting staff meetings and special in-office events, arranging catering, maintaining office cleanliness, ordering office supplies, and managing select vendor contracts.
  • Manage workstation set-up and building access for employees and visitors.
  • Liaise with Hatch’s offsite IT and Facilities teams to coordinate occasional office projects and troubleshoot issues as necessary.
  • Support select staff with schedule management, travel arrangements, and expense reimbursement submittals.

 

Qualifications:

 

  • Five (5) or more years of similar administrative assistant support experience.
  • Fluency with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams).
  • Experience with electronic document management and document control systems.
  • Demonstrated ability to collaborate with a team of professionals.
  • Excellent English-language written and verbal communication skills, including a demonstrated ability to communicate concisely and effectively.
  • An entrepreneurial “can do” attitude with an ability to work toward solutions despite real world constraints.

 

The following are a plus, but not required:

 

    • Associate’s or bachelor’s degree;
    • A Notary Public commission;
    • Experience in the engineering industry or a related professional services field.
    • Experience in database entries and database management to support business pursuits.

Base Compensation: $80,000 - $90,000 (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location)
