KIRC Knowledge Services Assistant (Temporary Contract)

About KIRC

The Knowledge & Information Research Centre (KIRC) is Hatch's global knowledge hub, delivering knowledge management, information services, research services, and knowledge & information literacy programs to employees worldwide. KIRC supports project delivery, business development, innovation, information governance, and knowledge sharing across Hatch's global operations.

 

Position Summary

The KIRC Knowledge Services Assistant provides administrative and operational support to the global KIRC team. The role is responsible for monitoring and triaging KIRC service requests, supporting catalogue maintenance and cataloguing activities, processing information resources, maintaining records, and assisting with day-to-day operational tasks.

This position is ideal for an organized, detail-oriented individual with strong administrative skills and an interest in information management, knowledge services, library operations, records management, or research support.

 

Key Responsibilities

Inbox and Request Management

  • Monitor and manage the KIRC shared inbox.
  • Triage and assign requests to appropriate KIRC team members.
  • Respond to routine inquiries using established procedures.
  • Track incoming requests and maintain service records.
  • Follow up on outstanding requests and ensure timely resolution.

 

Catalogue and Collection Support

  • Create and update catalogue records in the KIRC Online Catalogue.
  • Perform basic cataloguing, metadata entry, and classification activities.
  • Verify bibliographic information and resource descriptions.
  • Assist with collection maintenance and record updates.
  • Support processing of books, standards, reports, subscriptions, and other information resources.

 

Administrative Support

  • Prepare reports, spreadsheets, and service statistics.
  • Support subscription and membership administration activities.
  • Maintain filing systems, databases, and tracking logs.
  • Assist with document preparation and record management.
  • Schedule meetings and coordinate team activities when required.
  • Support onboarding, communications, and operational initiatives.

 

Information Governance and Quality Control

  • Follow KIRC procedures, standards, and cataloguing guidelines.
  • Assist with auditing and updating information records.
  • Support information governance and compliance activities.
  • Ensure records are complete, accurate, and properly classified.
  • Identify duplicate or outdated records and escalate issues for review.

 

General KIRC Support

  • Assist with knowledge management and information services projects.
  • Support SharePoint and other KIRC systems as required.
  • Contribute to continuous improvement initiatives.
  • Perform other administrative duties as assigned.

 

Qualifications

Required

  • Diploma or Bachelor's degree in Library & Information Science, Information Management, Business Administration, or a related field.
  • 1-3 years of administrative, library, information management, records management, or knowledge services experience.
  • Strong Microsoft 365 skills, including Outlook, Excel, Word, Teams, and SharePoint.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills in English.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.

 

Preferred

  • Experience with library management systems or online catalogues.
  • Experience with metadata, cataloguing, or records management.
  • Familiarity with SharePoint and content management systems.
  • Experience working with global or virtual teams.
  • Knowledge of information governance or knowledge management practices.

  • Provide reliable administrative support to the global KIRC team.

 

Note: This is a six-month temporary contract position supporting KIRC operations during a period of increased service demand and operational initiatives. The position offers valuable experience in knowledge management, information services, cataloguing, research support, and information governance within a global engineering organization.
