Role: 

As the Expediting Lead, you will ensure materials and equipment flow smoothly to meet project deadlines and budget targets. You’ll lead the expediting team—planning, staffing, and developing talent—while managing budgets and workload distribution.

Your primary focus will be anticipating and resolving issues before they impact schedules or costs. This means working closely with vendors, engineering teams, and project stakeholders to guarantee timely delivery of equipment and documentation.

You’ll oversee all post-award activities, from release and shipment to final delivery, ensuring compliance with purchase order terms. Partnering with logistics, you’ll make sure everything arrives on time and meets project requirements.

Success in this role requires strong coordination and planning skills, deep knowledge of manufacturing and materials processes, and the ability to mitigate risks proactively. Your leadership will drive performance and keep projects on track.

 

What will you do:

 

  • Lead and coordinate all expediting activities under the guidance of the Procurement and Materials Managers.
  • Develop and implement the Expediting Execution Plan and Control Plan, including budget and expediting levels.
  • Assign tasks to Expeditors and Documentation Expeditors, ensuring smooth purchase order administration across all disciplines.
  • Monitor vendor engineering and manufacturing schedules, proactively addressing potential delays.
  • Track and report project status through Hatch’s core system, providing accurate weekly updates.
  • Expedite equipment, materials, and documentation in line with project requirements and timelines.
  • Ensure accurate reporting data and timely release of all documentation per the Project Execution Plan (PEP).
  • Coordinate packing lists, delivery documentation, and export requirements.
  • Collaborate with vendors, internal teams, and clients to resolve expediting issues and maintain schedules.
  • Work closely with Vendor Quality Surveillance and logistics to ensure inspections, compliance, and on-time delivery.
  • Oversee purchase order close-out and supplier performance evaluations.

 

What you bring: 

  • Relevant technical qualification or trade qualification in relevant discipline
  • Relevant 10-15+ years’ experience as an Expediting Lead with a proven track record
  • High degree of technical aptitude and familiarity with various materials, fabrication processes and supply items
  • Ability to attain quality, cost and schedule objectives and strong deliverable focus
  • Possesses a minimum of 2,000 hours of shop expediting experience, significant experience in project expediting or other procurement related function
  • Thorough understanding of traffic and logistics and supplier quality processes
  • Working knowledge of SmartPlant system (or similar) is advantageous.
  • Excellent understanding of project execution, especially materials management, scheduling, procurement, contracting, pre-operational verification, commissioning methodologies and risk assessment
  • Excellent communication, negotiation and interpersonal skills
  • Knowledge of ISO 9000 and ISO 19011
  • Know and comply with all regulations and legislative requirements
