Our engineering and project management and construction disciplines ensure safe, efficient, and sustainable delivery of projects globally across the metals and mining, infrastructure, and energy sectors.

 

Hatch and Bantrel have formed the Hatch Bantrel Joint Venture (HBJV) to execute engineering and construction on the BHP Jansen Potash Mine Project in Saskatchewan. After successfully completing the Definition Phase Study for the project, the HBJV is currently carrying out the Detailed Engineering Phase for the Processing, Non-Process Infrastructure (NPI) and Mining Areas of the 4.5 Mtpa Stage 1 Potash Mine. With a published TIC of US $5.3-5.7 Billion this will represent one of the largest projects and private investments in Canada. The HBJV will use a hybrid of best-in-class new developing technologies and systems as well as the proven HBJV suite of tools to execute this exciting project.

 

Reporting to the Project Services Manager, the Document Control Manager is responsible for leading a team of document control specialists and project support groups (PSG), establishing document flow of vendor and project deliverables developing, organizing, and administering the activities in support of the project. The successful candidate will be responsible for following project and client standards,provide technical expertise to the team, develop and implement new or improved processes. This position requires experience in the EPCM industry, understanding of site activities and managing teams located in local and international offices.

 

Position Responsibilities

  • Accountable to manage the organization and maintenace of information in a electronic information management/document control system
  • Manage, mentor,  and lead the document  control and PSG teams.  Manage staffing/training requirements
  • Optimize document control processess to minimized double handling of information
  • Actively work to improving document control processes, demonstrate commitment to quality assurance
  • Establish the interface with client, vendor and site document control teams
  • Collaborate with other functions to refine and define processes, provide solutions and recommendations for sucess 
  •  Ensuring adequate staffing is in place as well as conduct interviews when additional staff are required on the project.
  • Coordinate and assist in the development of project objectives/plans, quality control standards, contributing to training programs, and assisting in the planning cycle.
  • Lead and support the maintenance of applications to customize to improve process by providing advice, guidance and interpretation of policies and procedures.
  • Test new software and system functionality in order to identify requirements and recommend changes to processes as well as to information systems.
  • Provide client service team support by responding to inquiries and providing advice regarding processes and procedures.
  • Deliver awareness sessions/presentations related to document control.
  • Prepare communications for the project and any 3rd parties as required.
  • Interpret client policies/procedures and communicate/advise management on the impact to document control program.
  • Provide input and assess the integrity of applications in accordance with user requirements and application demands.

 

Skills and Experience

  • Understanding of/ experience working in large complex organizations, ideally in engineering and construction.
  • 10+ years of document control experience preferably in a leadership or supervisory postion in a engineering/construction environment
  • Experience with relevant Document Management Systems, such as SmartPlant Foundation, SmartPlant for Operations, SharePoint and other collaborative project management tools considered an asset.
  • Competency in continuous improvement, change management, and a flexible approach.
  • Outstanding communication and relationship building skills.
  • Strong leadership skills, decision and problem solving ability.
  • Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
  • Must understand structure of databases and have experience with document management and electronic document management systems.
  • Experience in virtual and classroom style training and conducting demonstrations and presentations to large groups.
  • Knowledge of Microsoft Office suite.

 

Education

  • Post secondary degree/diploma or relevant experience
  • Exceptional attention to detail is a must
  • Able to perform complex document control duties demonstrating problem solving skills in a proactive manner
  • Good communication skills – written and verbal
  • Records & Information Management experience considered an asset
  • SmartPlant experience is an asset
