The Senior Logistics Coordinator is an experienced project logistics practitioner responsible for implementing the Logistics Execution Plan during execution, coordinating multimodal shipment activities, maintaining shipment visibility, interfacing with vendors and logistics service providers, and ensuring materials are moved to site in accordance with project schedule, compliance requirements, and approved logistics strategy. This role also provides functional guidance to junior personnel and supports the Logistics Lead in execution control, forecasting, and issue management.
Key Responsibilities
- Implement the Logistics Execution Plan during the execution phase and ensure day-to-day adherence across purchasing, expediting, vendor quality surveillance, project controls, and site materials interfaces.
- Interpret and apply project Incoterms correctly at the execution level and ensure suppliers and logistics providers follow them.
- Verify and maintain the freight journal and provide shipment forecasts, status updates, and materials movement visibility to the project team.
- Obtain shipping release information from expediting and activate shipments through the appropriate logistics channels.
- Ensure freight forwarders and 3PL providers receive complete export and shipping documentation and issue shipping instructions accordingly.
- Review vendor logistics data in detail and confirm shipment readiness, including weights, dimensions, hazardous classification, export/import requirements, and packaging compliance.
- Coordinate collection, transport, tracking, tracing, and reporting of cargo from point of origin to final destination.
- Coordinate import/export clearance support, consolidation, storage, preservation, and delivery readiness where these fall within project logistics scope.
- Interface with site logistics and site materials teams to support three-month look-ahead planning, specialized handling needs, and final delivery coordination.
- Supervise the work of Logistics Controllers and provide practical guidance to junior logistics personnel.
- Perform cost and shipment forecasting for the Logistics Lead and assist with invoice verification and logistics contract administration activities.
- Develop and execute contingency actions for critical-path deliveries, shipment deviations, and specialized-load requirements.
- Engage third-party specialists, such as marine surveyors, when required by cargo risk or insurance requirements.
Required Qualifications
- Training in logistics, supply chain, transportation, or a related discipline.
- Strong knowledge of import/export operations, Incoterms, customs documentation, multimodal transport, and project logistics processes.
- Strong understanding of procurement processes, corporate governance, and materials management interfaces.
- Proficiency with core project and logistics systems, including reporting and shipment visibility tools.
- Practical understanding of claims, freight bill review, shipment documentation, and logistics exception management.
- Demonstrated negotiation and stakeholder coordination skills.
- Degree or diploma or suitable tertiary qualifications in the logistics field is preferred
Experience Requirements
- Typically, 10-15 years of solid logistics or supply chain experience in EPCM, freight forwarding, 3PL, or comparable project environments, with responsibility for planning, transportation, and customs coordination.
- Demonstrated experience in materials management coordination, shipment tracking, freight documentation, and exception handling.
- Prior experience supervising support staff or coordinating the work of others is desirable.
- Experience with contingency planning and critical-path delivery support is preferred.
- International experience on EPCM projects is an asset.

Level of Autonomy / Decision Authority
Operates with substantial independence within the approved Logistics Execution Plan, logistics procedures, and contract framework. May independently coordinate routine shipment priorities, document readiness, provider follow-up, forecast reporting, and standard exception management. Strategic changes to Incoterms, provider selection, major budget impacts, heavy-lift methodologies, or deviations from approved logistics strategy are escalated to the Logistics Lead/Project Procurement Manager.
Reporting Structure
Reports to the Logistics Lead or Project Procurement Manager or Site Materials Manager depending on project organisation structure. May supervise Logistics Controllers and provide mentorship and day-to-day guidance to junior logistics personnel.
