Bid & Proposal Specialist

We are currently seeking a for a Bid and Proposal Specialist. Reports to the Commercial Manager Eastern North America you will be responsible for proposal/document development, formatting and organization for all Business Units.

 

Responsibilities

  • Generates and selects graphics (photos/pictures, organizational charts, diagrams, cover pages and fly sheets, etc.).
  • Ensures that document design and formatting are compliant with Hatch’s visual identity and writing standards.
  • Ensures Hatch marketing material for proposals respect Hatch’s high-quality standards (CVs, project sheets, statement of qualifications, etc.).
  • Integrates pursuit manager and subject matter expert contributions into master proposal document, but does not generate content.
  • Reviews proposal content, texts and overall quality (content clarity, grammar, spelling, formatting, uniformity, etc.).
  • Supports the team and pursuit manager to ensure compliance with Request for Proposals instructions and deadlines. 
  • Supports activities related to the assembly, production and delivery of a proposal on time, in the format specified.
  • Organizes and manages the proposal directory in Hatch systems and SharePoint.
  • Proactively identifies re-usable material and shares across the teams.
  • Ensures that materials are appropriately stored and archived on Hatch’s systems for easy access.

 

Qualifications

  • Post-secondary education in Business, Communications, Marketing or equivalent experience.
  • Minimum three (3) years experience working on proposals.
  • Expert working knowledge of MS Office tools, including Word, Excel, PowerPoint. Knowledge of Microsoft Visio and SharePoint an asset.
  • Working knowledge of Adobe Creative suite, including InDesign and Photoshop.
  • Working knowledge of CRM and SAP tools an asset.
  • Excellent oral and written communication skills and grammar in both French and English (must be perfectly bilingual).
  • Proven ability to work well under pressure and handle multiple tasks successfully.
  • Ability to prioritize work based on changing priorities and deadlines.
