Are you a highly organised administrator with a keen eye for detail and a passion for keeping projects running smoothly? We are seeking a Procurement Administrator to support the procurement team across the full procurement lifecycle, ensuring documentation, processes and stakeholder communications are coordinated efficiently and accurately. Working within a project environment, you will collaborate with procurement, engineering, document control, vendors and client stakeholders to help deliver successful project outcomes. This is an excellent opportunity for someone who enjoys working in a fast-paced environment, thrives on organisation and process, and wants to build a career in procurement and project support. You will play a key role in maintaining document quality, coordinating procurement activities and supporting package bidding and contract award processes.

 

Key Responsibilities

  • Support the end-to-end procurement administration process from package bidding through to award and post-award activities.
  • Coordinate the issuance, tracking and collection of confidentiality agreements from bidders.
  • Manage procurement documentation within document management systems, ensuring records are accurate, complete and up to date.
  • Conduct quality checks on commercial bid documentation to ensure approved templates and standards are followed.
  • Issue bid packages to suppliers and contractors through document control processes.
  • Coordinate bid opening documentation and distribute records in accordance with project approval requirements.
  • Manage document access permissions and ensure bid submissions are available to relevant project stakeholders.
  • Assist with bid evaluation administration, approval routing, document filing and preparation for archiving activities.

 

About You
You are a proactive and detail-oriented administrator who enjoys working across multiple stakeholders and managing competing priorities. You have experience in administration, document control, project support or procurement coordination and are known for your accuracy, organisation and ability to follow established processes. You possess strong communication skills, are confident using document management systems and take pride in delivering high-quality work. Experience within engineering, construction, mining, infrastructure or project environments will be highly regarded, although candidates looking to develop a long-term career in procurement are encouraged to apply.
