We are currently seeking a Project Administrator to join our Document Management team in Perth. This role is ideal for a highly organised professional who thrives in a fast-paced project environment and enjoys supporting project teams through effective administration, documentation management, and stakeholder coordination. As a Project Administrator, you will play a critical role in supporting project delivery by coordinating administrative activities, maintaining project documentation, facilitating communication across stakeholders, and ensuring project processes and procedures are followed throughout the project lifecycle.

 

Key Responsibilities

  • Provide administrative support to project managers and multidisciplinary project teams.
  • Coordinate project meetings, communications, and stakeholder enquiries.
  • Develop, maintain, and support project procedures, communication sites, and distribution matrices.
  • Format, quality check, issue, and maintain project documentation in accordance with project standards.
  • Manage document control activities, including filing, scanning, registration, and record management within EDMS and SharePoint systems.
  • Train and support project team members in the use of document management systems, templates, and project procedures.
  • Coordinate staff mobilisation, travel arrangements, site access requirements, inductions, medicals, and PPE requirements.
  • Support functional leads with organisational planning, work plans, reporting, translations, and other project administration activities.

 

About You
You are a proactive and detail-oriented administrator with experience supporting large engineering, mining, infrastructure, or construction projects. You have exceptional organisational skills and can effectively manage competing priorities while maintaining a high level of accuracy. You are confident working with a variety of stakeholders, possess strong written and verbal communication skills, and are comfortable using Microsoft Office, SharePoint, and document management systems. Your ability to work independently, solve problems, and adapt to changing project requirements will see you succeed in this role. Experience working on large-scale engineering projects and a strong understanding of project administration and document control practices will be highly regarded.
