Travel Coordinator – Saudi National

We are seeking a proactive and highly organized Travel Coordinator to support our local operations and ensure efficient, compliant, and seamless travel arrangements for employees, consultants, and project partners.

Position Overview

The Travel Coordinator plays a key role in supporting Hatch’s project teams by managing end‑to‑end travel arrangements in line with corporate policies, safety requirements, and client expectations. This role requires a highly organized, adaptable, and self‑motivated professional, with strong attention to detail and a service‑oriented mindset.

The successful candidate will thrive in a fast‑paced, multicultural environment and be able to work effectively both independently and as part of a team. Strong interpersonal skills, along with excellent verbal and written communication, are essential to build and maintain effective working relationships with internal stakeholders and external service providers.

Key Responsibilities

Travel Planning & Coordination

  • Arrange domestic and international travel including flights, hotels, ground transportation, visas, and insurance.
  • Prepare cost‑effective itineraries while ensuring compliance with Hatch travel and security policies.
  • Coordinate group travel for project mobilizations, site rotations, workshops, and client meetings.
  • Manage last‑minute changes and respond promptly to urgent or complex travel requirements.

Documentation & Administration

  • Maintain accurate and up‑to‑date travel records, approvals, and tracking logs.
  • Prepare purchase orders, monitor invoices, and support expense reconciliation and reimbursements.
  • Ensure all travel documentation (visas, passports, work permits, security clearances) are valid and compliant.
  • Support onboarding of new travelers to Hatch’s travel systems, policies, and procedures.

Traveler Support

  • Act as the primary point of contact for travel‑related enquiries.
  • Provide pre‑travel briefings, ensuring travelers are informed of itinerary details, documentation requirements, and safety guidance.
  • Assist with itinerary modifications, re‑bookings, and emergency support as required.

Vendor & Stakeholder Management

  • Liaise with approved travel agencies, airlines, accommodation partners, and ground transportation vendors.
  • Work closely with HR, Finance, Security, Project Managers, and site leadership teams to ensure aligned travel planning.
  • Monitor vendor performance and escalate service or compliance issues when necessary.

Saudization & Local Development Commitment

This role is designated for Saudi Nationals and supports Hatch’s commitment to the Kingdom of Saudi Arabia’s Saudization (Nitaqat) program.

Employment & Regulatory Compliance

Employment in this role is governed by the Saudi Labour Law and relevant Ministry of Human Resources and Social Development (MHRSD) regulations.

Terms and conditions of employment will be provided under a locally compliant Saudi employment contract and will include statutory entitlements and benefits in accordance with applicable laws and regulations, including GOSI registration where required.

Qualifications & Experience

  • Saudi National (mandatory).
  • Minimum 3–5 years’ experience in travel coordination, administration, or a similar corporate support role.
  • Strong knowledge of Saudi Arabian and international visa processes and travel requirements.

Skills & Competencies

  • Excellent communication skills in Arabic and English (written and verbal).
  • High level of professionalism, discretion, and customer service orientation.
  • Strong organizational and time‑management skills with the ability to manage multiple priorities.
  • Proven problem‑solving capability, particularly in time‑sensitive or high‑pressure situations.
  • Proficiency with Microsoft Office applications (Excel, Outlook, Word).
