The Site Project Accountant plays a critical role in overseeing site-level financial operations, ensuring compliance with Zambian accounting standards, and supporting project execution. This includes managing accounts receivable, petty cash, and bank accounts, verifying site expenditures, maintaining accurate financial records, and supporting tax compliance and year-end audit processes. The role also involves providing administrative, HR, and procurement support to ensure smooth project operations.
Key Responsibilities
In-Country Accounting & Bookkeeping
• Record and reconcile daily financial transactions in line with Zambian accounting standards.
• Maintain general ledger entries and ensure completeness and accuracy of site-level financial data.
• Support monthly close processes and prepare site-level financial reports.
• Liaise with local vendors and ensure timely processing of payments.
Petty Cash Management
• Oversee site-level petty cash operations, ensuring proper documentation and reconciliation.
• Maintain accurate petty cash logs and ensure timely replenishment.
• Enforce internal controls to prevent misuse and ensure compliance with company policy.
Tax Compliance
• Ensure accurate calculation and timely submission of statutory taxes (VAT, PAYE, WHT, Corporate Tax).
• Stay updated on Zambian tax laws and advise on implications for site operations.
• Coordinate with external tax consultants and ZRA (Zambia Revenue Authority) as needed.
• Maintain proper documentation for audits and tax reviews.
Year-End Support
• Assist in preparing schedules and documentation for external audits.
• Support year-end financial close and consolidation processes.
• Reconcile intercompany balances and ensure proper accruals.
• Collaborate with regional finance teams to ensure alignment with group reporting standards.
HR Support
• Assist with onboarding and offboarding of site personnel.
• Maintain work permits and local employment contracts as well as support payroll processing.
• Liaise with HR on contract management, and compliance with labor laws.
• Support employee welfare initiatives and ensure adherence to company policies.
Other
• Oversee general office operations including supplies, utilities, and maintenance.
• Maintain organized filing systems for financial and administrative records.
• Provide financial and administrative support to site-based project teams.
• Assist with procurement processes and ensure proper documentation.
Qualifications and Experience
• Education: Bachelor’s degree in Accounting, Finance, or related field.
• Professional Certification: ZICA, ACCA, or CIMA (preferred).
• Experience: 3–5 years in accounting roles, preferably in site-based or project environments.
• Skills: Strong attention to detail, knowledge of Zambian tax laws, and ability to work independently in remote settings.
• Systems: Proficiency in accounting software (e.g., SAP).
