A full-time site position is available within the Quality Practice for an individual with sound planning and organising abilities. Your customer-focused orientation and strong attention to detail will surely compliment this fast paced, deadline driven team. Please note, this position is for a 12-month fixed temr contract.
Key responsibilities:
- Provide Hatch Quality Management System support to maintain the Regional Management System users
- Promote the Management System
- Provide support to BU Managers/Corporate/Practice Leads/Project Managers in updating or establishing of forms, templates, procedures, guidelines, etc.
- Publish approved forms, templates, procedures, guidelines etc., within the Management System
- Regular reporting and feedback to the Hub Quality Lead
- Investigate and, where possible, resolve issues identified by users in conjunction with relevant technical support teams
- Assist key users in locating information within the management system
- Collect and understand requests for minor and major or critical changes to the management system
- Liaise (pro-actively engages with BU’s/corporate/Practices or Projects to discuss issues)
- Support continuous improvement within the Quality Practice and Management System
- Support business development initiates
- Perform general/Secretarial activities such as :
- Organise meetings (Meeting schedules/requests/Board Meeting through Outlook.
- Catering arrangements
- Minute-taking
- Distribution of Agendas and previous minutes
- Type and dispatch general-level correspondence (letters/minutes/memos/reports/faxes)
- Typing of presentations
- Sending faxes
- Screening and making calls
- Set up of Tele/Video conferences
- Timesheet submittals/Approvals (SAP)
- Printing/Photocopying (checking on toners etc)
- Management of templates, forms, procedures, guidelines etc database and register
- Assisting with Travel Arrangements
- Maintaining sound records and archival system
Requirements:
- Completed secondary schooling certificate (minimum)
- A degree or certification from a recognized programme (preferred)
- Latest Windows Operating system
- A self starter with the ability to work without supervision but within a team environment and at different organisational levels
- Some knowledge of iPas livelink would be an advantage
- Experience in project controls in engineering and construction management environments would be an advantage
- Excellent analytical, interpretive and problem solving skills combined with excellent computer skills
- Excellent interpersonal, organizational and presentation skills
- Excellent oral and written communication skills
- Understanding of integrated business systems
- Customer service focus
- Knowledge of office tools i.e. copiers, printers, scanners, telephones, courier details
- Hatch ISO principles/standards/procedures
- Sound knowledge of Microsoft Office i.e. word, powerpoint, excel, outlook and visio
- Experience in Document Control and Document Management on an electronic Document Management System essential
- Ability to assimilate and make sense of complex information and to document these
- Good relationship building and listening skills
- Ability to work under pressure towards strict deadlines
